Important: Convention Emails

Once you register, participants receive a private schedule by email.

If you have not received your schedule, please visit the Help Desk. Before doing so, please check:

Before the Convention: Please Update Zoom

To ensure the best experience at the convention, we strongly recommend updating your Zoom application before the convention begins. Updating Zoom helps ensure closed captions function properly, interpretation channels are available, and audio/video work smoothly.

New to Zoom?

You do not need to pay for Zoom to attend the convention. A free Zoom account is sufficient.

  • You may create a free Zoom account (recommended). Here’s a  tutorial to walk you through creating a new account  found HERE
  • You may join using the Zoom application on a computer, smartphone, or tablet. A tutorial on how to download & install is found HERE

Attending by Telephone

You may attend the convention by telephone call-in.

  • Telephone call-in is audio only.
  • You will not be able to view captions or transcripts.
  • You will not be able to hear Zoom interpretation channels (including member readers).

I. Pre-Convention Preparation

Tech CheckUse a laptop or desktop computer (Mac or PC). Avoid smartphones. If using a Chromebook, be aware some functionality may be limited. Test your device’s capabilities at least one week before the Convention.
ReviewRead this entire Moderator format and the full Session Format document before the Convention.
StudyReview and adhere to the OA Twelve Traditions. [OA 12 Traditions]
AttendIt is highly recommended to attend the session immediately before yours in the same track to observe the moderator role in action.
CommunicateRegularly check the WhatsApp group for questions, updates, and coordinator messages.
Emergency ContactIf you are unable to fulfill this service role, immediately text or WhatsApp the Training Coordinator (773.879.6151) or email (training1vrc@oavirtualregion.org).

II. Session Arrival (15 Minutes Prior)

TimeArrive no later than 15 minutes before the session start time.
MuteAlways stay muted unless you are speaking.
Check-InUpon arrival, raise your virtual hand to request co-host status. You will be asked to turn on your video, state your service role, and confirm your identity via WhatsApp.
RenameRename yourself using your service role followed by your name (e.g., Moderator Jane D.).
BackgroundWe recommend using the Service Convention Logo as your virtual background and profile picture. If you choose an alternative, ensure it complies with the Tradition of anonymity (no group photos, movie posters, artwork, work logos, etc.).
ConfirmKnow the exact Title of the session you are moderating.
Speaker PrepCheck with the session speaker to determine their plan for open sharing: Will they announce it, or do they need the moderator to announce it? If the latter, confirm the desired share duration.

 

III. Interpretation/Reader Protocol (Moderator & Host Actions)

Goal: Ensure interpretation is set up correctly and instructions are given clearly.

IV. During the Session: Moderator Script

The script starts here:

PART A: Welcome, Prayer, and Interpretation Announcement

READ:

      • Welcome to the 2026 Virtual Region Convention! The topic of this session is [INSERT SESSION TITLE HERE].
      • My name is [INSERT YOUR NAME] and I am a [INSERT YOUR SERVICE ROLE, e.g., Moderator] and I will be your moderator for this session.
      • Let us start with the Serenity Prayer in English:
God, grant me the serenity to accept the things I cannot change, the courage to change the things I can, and the wisdom to know the difference.

(After the English Serenity Prayer, announce each language one at a time for the interpreters to read the prayer.)

PART B: Interpretation & Captions:

READ: (verify if Host has started the Interpretation)

This session will be interpreted in the following languages: [LIST LANGUAGES HERE]
To listen in another language, click the Interpretation icon / globe in your Zoom controls at the bottom of the screen. Choose your language if an interpreter in your language is present (e.g., Spanish, French). Then, to hear the interpreted language only, click Mute Original Audio.

Reading Ai Captions & Translation:

READ:

To read captions, look to the bottom Zoom task bar, click on the CC/ Closed Captions button. If there is not a CC icon there, then click the round circle with 3 dots, with the word “More”. Select “CC / Show Captions” and your language.

• Next, you can also change the closed captioning to your own language so that when you hear a speaker who doesn’t speak your language, you will be able to read what they are saying in your own language. On the bottom Zoom task bar, you will find to the right of the Closed Captions (CC) icon, a “tent-arrow-up”. Click the arrow (^) and select TRANSLATE. (This is required to see any translated text!)

• Lastly, CHOOSE “My Speaking Language” and “My Caption Language” – both are set to the language you speak and read.

PART C: Unity, Anonymity, and Zoom Rules

OA’s Unity with Diversity Policy:

As we extend the heart and hand of the OA Fellowship to those who still suffer, let us be mindful of OA’s Unity with Diversity Policy, which respects our differences, yet unites us in the solution to our common problem. Whatever problem you may have with food, you are welcome at this meeting, regardless of race, creed, nationality, religion, gender identity, sexual orientation, or any other trait.
Zoom Info and Anonymity:
      • The audio of the speakers and moderators only is being recorded and may be available online later.
      • We ask that you keep what you see and hear here confidential and that there be no recordings or screen captures. Please respect the anonymity of all who attend.
      • Attendees are automatically muted.
      • Please stop your video if you are walking around or eating.
      • We ask you to rename yourself to first name and last initial. Feel free to add your state, province, or country.
      • Please note that chat is set to hosts only.

 

PART D: Open Sharing Segment

Introduce Keynote speaker (Speakers shares 30 minutes)

Monitor the time and conclude shares 5 minutes before the official end of the session.

Remind the Host (privately) to stop recording during shares and/or when the speaker concludes.

When finished, thank speaker:

PART E: Opening for Sharing (Q&A etc)

A. IF SESSION IS OPEN SHARING:

      • Now is the time for open sharing. Shares are [INSERT
        DURATION HERE] minutes each.
      • If you want to share, raise your virtual hand in your
        meeting controls. On a phone, press *9. If you can’t
        raise your hand, you can chat with a Host. The moderator will call on you.
      • When it is your turn to
        speak, you will see a prompt on your screen asking you
        to unmute. Please select “unmute” to speak.
      • The timer will signal when your time is up.
      • You are welcome to tell where you are from and how
        long you’ve been in OA.
      • Please remember that our TRADITIONS state that OA
        has NO OPINION ON OUTSIDE ISSUES.
      • This session is now open for sharing.

B. IF SESSION IS Q & A

We will now open the floor for a question-and-answer session. Please type your question into the Q & A function, not the chat. I will read out questions to the speaker, and the speaker will have time for brief answers. (Timer please set time for 3 minutes for responses.

Registration, Login, Schedule & Service — All in One Place

The convention registration system is also your login portal. From the same system, you can register, log in, view your personal schedule, see service/s you have signed up for, and sign up for additional service. You do not need to re-register.

Registration System Timing & Patience

On some devices, the registration and login system may run a little slowly.

  • If you have just registered, wait about five minutes.
  • Check your email for a registration confirmation.

Accessing the Convention Links

I don’t see the links to enter the convention. How do I get them?

Registered attendees will receive an email 24–48 hours before the convention with access to a password-protected page containing the convention entry links.

If you do not see this email:

  • Check Spam, Promotions, and Other folders.
  • If still not received, visit the Help Desk during the convention.

 

If you are new to OA or returning with less than 90 days, you may enter through the Newcomer Welcome Center and are not required to pre-register.

Viewing the Schedule Ahead of Time

I want to plan my weekend. Can I view the schedule ahead of time?

Yes. The full convention schedule is available in advance for planning.

How do I know what time the sessions are in my location?

All session times are shown in Eastern Time (U.S.) (UTC − 5). Please convert session times to your local time zone when planning.

Language Access, Captions & Interpretation

What languages are available at the convention?

Zoom AI translated captions are available in up to 46 languages.

For many languages, translated captions are very effective, and for a significant portion they are estimated to be over 75% accurate.

In addition:

  • The Newcomer Welcome Center includes sessions in multiple languages.
  • The main convention sessions are predominantly in English, with several sessions in Spanish.
  • Some sessions include member readers who read translated captions aloud (see the Reader Schedule).

Many of our sessions will have Spanish and French caption readers. Other languages will be added. Please check the schedule for updates.

How do I use closed captions to view translations?

Zoom provides live translated closed captions.

Is there simultaneous interpretation?

This convention primarily uses live translated captions.

For selected sessions, OA members will read the live transcript aloud in specific languages to support members who have difficulty reading captions.

This schedule shows which sessions include readers and in which languages.

How do I listen to the members reading the translation?

To hear member readers, you must join the session on Zoom and select the appropriate Zoom interpretation channel.

Is there a Schedule of meetings that a visually Impaired person can view?

Yes. In knowing columns are an issue, we have an Accessiblity Schedules

Service

I’ve already registered. How do I sign up for service or additional service?

Return to the same registration system where you registered for the convention. Once logged in, you can view your personal schedule, see any service you have already signed up for, and sign up for additional service opportunities.

Why am I required to sign a service release to give service at the convention?

Members who give service at the convention are asked to sign a service release. This helps clarify expectations and responsibilities for service roles, support the protection of member anonymity, and align with best practices for privacy and data protection.

We believe this is in line with best practices for complying with legal standards of general data protection regulations and helps us use our best efforts to protect the anonymity of our members.

Participation, Privacy, and Session Conduct

How do I ask questions or participate during a session?

Many sessions use Zoom Q&A and/or Zoom chat for questions and participation. Session moderators will provide instructions at the beginning of each session.

Do I need to keep my camera on?

No. Camera use is optional. You are welcome to keep your camera off if you choose.

Can I use an alternative name on Zoom?

Yes. You are welcome to use an alternative display name on Zoom.

Is my privacy protected?

OA principles of anonymity apply. The OA Virtual Region uses its best efforts to protect privacy and personal information and follows established privacy and data protection policies.

What should I do if I experience inappropriate behaviour during a session?

If you experience inappropriate behavior, contact the session moderator or security person for that session. You may also visit the Help Desk or email convention@oavirtualregion.org.

Newcomers, Returning Members, and Visitors

I want a copy of “Where Do I Start?”

Yes. We welcome family members, students, medical professionals, mental health professionals, social workers, clergy, and others into our Newcomer Welcome Center to learn more about OA. We believe it is important for our communities and our families to be aware of the program.

Seventh Tradition & Scholarships

I don’t have money for a Seventh Tradition contribution. Can I still attend?

Yes. Scholarships are available so that no one is turned away for financial reasons.

All you need to do

  • First is to Register
  • then, when you get to the payment section you can simply click the button that says Scholarship.
  • Follow instructions

 

Seventh Tradition contributions from this convention help support the OA Virtual Region year-round by helping us:

  • Carry the message within OA and to the still-suffering compulsive eater outside OA
  • Provide scholarships for members who need support to attend the World Service Business Conference
  • Maintain ongoing regional operations, including this website
