Using Zoom Closed Captions and Transcriptions

Zoom Artificial Intelligence (AI)

is used to provide real-time captions and transcriptions. To hear and read the meeting in your language:

This year we are providing caption and transcription capability in 46 languages. Most languages of convention attendees work well with the AI.

Some OA terms are hard for the AI.

English to other language translation is supported, but translation from some other languages to English may be limited. 

Readers will be provided for most sessions.

Instructions for reading “Captions and/or Transcriptions”

1. Find the “Captions” Button

    • Look at the bottom of your Zoom screen (the menu bar).
      • Click the Captions (CC) icon.

Note: If you don’t see it, click the three dots (…) labelled “More” first, then select “Captions.”

2. Enable Translations This step is necessary to be able to have captions/transcriptions

Slide the button to the right to activate.

Optional: You can see your original language and translated captions together if you slide the second button

3. Choose Your Language

A menu will appear after clicking the up arrow (^) diamond next to the Captions icon. Pick both of the two:

      • “My Speaking Language”: 

Select the language you will be speaking (e.g., Spanish).

      • “Translation To”: Select the language you want to read (e.g., Spanish).

 

Important: Help AI stay correct!

The AI is very smart, but it can get confused. 

  • Speak only in your selected language.

If you switch languages mid-sentence, the captions will become confusing!

  • Speak slowly and clearly.

 

PLEASE NOTE: ONCE YOU SET THIS UP IT WILL REMAIN THE SAME FOR YOUR NEXT SESSION UNTIL YOU CHANGE IT.

 

📱 Using a Phone or Tablet?

  1. Tap your screen to see the menu.
  2. Tap the three dots (…) labeled “More.”
  3. Tap “Captions.”
  4. Select your Speaking Language and your Translation language.

 

Tips for Success:

  • See the whole conversation: Click the arrow next to Captions and select “View Full Transcript” to see a scrolling window of everything spoken so far.
  • Change Text Size: If the words are too small, go to “Caption Settings” in that same menu to make the text larger.
