Tech Support Protocol (Convention Session)

The Tech Support (Co-Host) is responsible for managing the technical flow of the meeting, supporting participants, and facilitating communication between the Interpreters/Readers and the Speaker.

I. Participant Management

• Renaming Participants:

• Action: Rename participants only when explicitly asked to do so by the participant.
• Note: Participants are generally able to rename themselves.

• Audio Control:

• Action: Use host controls to unmute and mute participants as necessary to manage the flow of the meeting (e.g., calling on a participant to share, or muting disruptive feedback).

• Hand Management:

• Action: Do NOT lower a participant’s raised hand (for sharing) until they have fully completed their share.

II. Speaker & Accessibility Support

• Pacing Intervention (Critical): Continuously monitor the video feeds of the Interpreters/Readers for any signal that the main speaker is speaking too quickly.

• Visual Signal: If the speaker is too fast, give them a clear, visual “slow down” signal (e.g., slowly waving your hand vertically in front of your face).
• Verbal Intervention: If the speaker does not slow down after the visual cue, unmute yourself and interject calmly with, “Slow, please,” or “Please slow down for the interpreters.”

• Screen Sharing:

• Action: Facilitate screen sharing as requested by the Moderator or Speaker (e.g., sharing a slide, document, or video). Ensure all shared content is visible and the correct screen/window is selected.
